Booking via the public website
If you have enabled booking via your public website - you will need to open booking from within the tournament editing page and make it available on the public website (Tournaments > chosen tournament > Edit > View > Public site settings). There will be a 'Book online' button on the tournament tile, schools can then click it and they will be taken through a step by step process.
When booking a team will automatically created, when booking they are asked how many teams they will be bringing and this will reflect how many teams are automatically created when they book on. Providing you have enabled auto-enrollment.
Sending invitations to schools
Once you send the invites out to schools they can then either accept or reject your tournament invitation, whem booking a team will automatically be created, they are asked how many teams they will be bringing and this will reflect how many teams are automatically created when they book on. Providing you have enabled auto-enrollment.
You will be able to see the status of each school from app.squadintouch. Go to 'Tournaments' > find your chosen tournament and click 'Edit' > 'View' from the 'Participants' tab you will be able to see the status of schools, providing you have auto-enrollment turned on, any school that accepts will be automatically placed on the tournament until there are no spaces left (if you limited the number of spaces).
- Accepted - they have either accepted your invitation or booked on via the public website
- If they are accepted and in the left box they are on the tournament
- If they are accepted and in the right box they are on a waiting list
- The time and date stamp reflects when they booked on to the tournament
- Declined - They have declined your invitation

- Not sent - they have not had an invitation sent to them, reasons for this could be;
- They have not got a member of staff with a Squad in Touch account
- You have not sent invitations because you are relying on them booking on via your public website
- Pending - You have sent a invitation and they have not yet responded
Providing you haven't selected the option for a tournament booking to close when it is full, schools will be able to be added to a waiting list if there are no spaces for teams available. When a team is placed on a waiting list they will show as accepted however they will not be moved onto the tournament.
If a space becomes available as a union admin it is your responsibility to ensure that they are added to the tournament.
When a school books on to a tournament, a time and date stamp is added to their accepted status which is indicative of when they accepted, therefore showing you who booked on first so you know who can be added to the tournament.
When a school books on, if they have been added to the waiting list they will be given a warning message which will let them know that spaces are currently full and they are now on the waiting list.
If you add a school to the tournament, they will get a email to the email address they registered with and push notification (as long as they have the app) to let them know - all school Admins and Managers will receive the notification regardless of who booked onto the tournament.
You can view who booked the school onto the tournament via the enrollment log, you will need to log into console.squadintouch to view this. Go to 'Tournaments' and click on your chosen tournaments, then navigate to the 'Enrollment log' You will be able to see a list of all schools who have booked onto / left / declined an invite for the tournament. You can also see which users performed these actions.
Adding enrollment comments
If you would like to add comments to any of the actions performed, for example if a school requested for you to remove them from the tournament and you would like a note putting along side this so you don't forget who asked you / when they asked you then you can do this by; logging into console.squadintouch. Go to 'Tournaments' and click on your chosen tournaments, then navigate to the 'Enrollment log' and click on 'View log. This will enable you to see further information and if you select one of the logs, 'Actions' > 'Add comment' you can add a comment to any log on there.
