The staff app can allow you to do a number of aspects that will help with fixture and event manager. Please see below everything you can do with the app:
From your calendar within your app you can view all upcoming events and clubs. There are two view types for your calendar:
Option one is to view in a list format, this is the automatic set up of your calendar view. The second option is to view as a calendar with all days of the month shown, you can change to this view type using the button in the top right corner of your calendar screen.
Manage event invites / bookings
You can manage any incoming event invites from your opposition schools or from your SSP, you just simply go to the menu (three lines in the top left corner of your app) and then click on the 'Invites' section, any invites requiring attention will appear here.
Accept / reject invites
To accept or reject an invite simply click on it and select the relevant option, your response will then be sent to your opposition school or to the SSP.
If you are accepting a booking onto a tournament then you may be asked additional questions such as asking you how many team you are bringing. Once you have booked on, your team(s) will automatically be created and added to the tournament, in order to add students to your teams you will need to do this via the Squad in Touch web portal.
View past invites
If you would like to view invites that you have already responded to, regardless of whether you accepted or declined, you can find these in the 'Archives' section of the invites tab.
Manage participation confirmation requests
Union accounts can send confirmation requests following your tournament booking to answer any additional questions, you can find these from the menu (three lines in the top left corner of your app) and clicking into 'Messages'.
Accept / reject confirmation requests
you can confirm your participation and answer any additional questions that have been asked, please note if you are accepting please ensure you have answered all required questions otherwise you will not be able to accept.
View past confirmation requests
If you would like to view confirmation requests that you have already responded to, regardless of whether you accepted or declined, you can find these in the 'Archives' section of the messages tab.
To manage new user requests you can do this by going to the menu (three lines in the top left corner) and then select 'Users' from there you can go to the 'New requests' tab, click on your chosen user and then you will need to agree to the statement and 'Accept', alternatively you can choose to 'Decline'.
Managing current users
You can revoke current users roles and view details, you can do this by going to the menu (three lines in the top left corner) and then select 'Users' from there you can go to the 'Users' tab.
You can use the magnifying glass to search for a specific user and then if you click into them you can see further details and revoke their role if you decide.
Custom event notification
You can send a custom event notification to any users who is involved within your chosen event. Simply click into the event and then go to the three dots in the top right corner and select 'Send a message'. Compose your message, select the students who you would like it to be sent to - please note any parents linked to those students will also receive the message and send.
Messages will go via email and push notification, providing users have the app and have not turned off email / push notifications.
You can cancel an event by into the event and then go to the three dots in the top right corner and select 'cancel event'. Please note in cancelling an event it will still remain in your event calendar, however it will be grayed out. All users linked to that event will get a notification via email and push notification (providing their settings enable this) to let them know it is cancelled.
Edit event details
If you edit any event information in the 'details' tab of the fixture then a notification will be sent to all users (via push and email) linked to the relevant event. You can change the following aspects via the app;
- Members of Staff
- Departure Time
- Return Time
- Meet Time
- Tea Time
- Lunch Time
- Event Description
- Kit notes
All of this can be changed using the edit pencil.
Add student jobs
Include student jobs and tag students in the specific job - Go to the fixture, click on the 'Details' section and then select the 'Jobs' tab, you can add multiple jobs by clicking the + button.
Input a match report
When adding a match report via the app you can either type it in or you can use the talk option, whereby holding down the microphone the app will turn your speech into text. - Go to the fixture, click on the 'Details' section and then select the 'Match Report' tab. Click on the edit pencil which will then pull up a blank page, either tap the screen or hold down the microphone to input your match report.
You can input scores live from the pitch, to do this click into your chosen fixture and select the three dots in the top right corner of the app and select 'close event' this will then enable you to add scores as and when they happen or following the event. All scores will be updated across all users accounts and apps.
Take a club register
Click into your chosen club for the relevant week and select the three dots in the top right corner of the app and select 'close event' this will then enable you to add present / absent marks next to students - parents will be able to see if their child(ren) was present / absent from the club once you click save.
View emergency contact information
When out on a fixture you will be able to view emergency contact information, medical details and any other important details by going into the event and holding down a student name - in order to do this you need to ensure that you have emergency contact information entered on Squad in Touch.
Add a comment to your event
Add comments that users who are involved in the fixture can see - please note users will not get a notification that a comment has been added. To do this go into the fixture and click on 'Connect' this will then pull up the live chat page which you can enter comments in and view any comments from other users.
Parents and students will only be able to add comments if your school settings allow.
View availability report responses
Parents and / or students can send availability reports for a fixture without any prompting to let you know if they are able to attend or not, please note your school settings need to enable this feature. To do this go into the fixture and click on 'Connect' and click on the 'reports' tab.
View consent request responses
If you send out a consent request to parents then their responses will appear here along with all responses to the additional questions (if any) you asked. To view responses go into the fixture and click on 'Connect' and click on the 'Consent' tab.
Add photos to your event
If you go to your chosen fixture and click on the 'Gallery' section you are able to add photos, you can either take a live action photo or choose one from your camera library. Parents and students will need to have the ability to do this enabled on your school account. There is a three tier photo upload system;
- Private - only the individual who uploaded and school staff can see the photo
- Team members only - only anyone involved within the fixture / event can see the photos
- Public - Photos go onto the public website and can be seen by everyone
Photos can be changed from the initial upload format which is 'Private' however this can only be done by school staff via the web portal. You can also annonamise photos by adding emoji's to cover students identities via the web portal.
Offline viewing is available for all events - you can view emergency contact details, add scores and match reports all while offline ready for them to be uploaded when you have internet connection. In order to make an event available for offline viewing it needs to have been accessed at some point while online in order to enable access when without connection.
